Assigning the correct user access level in ConnectedWorkshop ensures your team can work efficiently while protecting sensitive workshop settings.
Important for VW Connect Pro: All user access and role assignments are managed via the Group Retail Portal (GRP). Your local GRP administrator must assign the correct role to your profile before you can access the platform. If you need to change your permission level, please contact your GRP administrator directly.
User Access Levels
ConnectedWorkshop has two levels of access: Basic and Manager. Both roles allow users to handle daily vehicle tasks, but Manager access is required for administrative changes.
1. Basic Access
This level is designed for Service Advisors and Technicians who handle customer vehicles on a daily basis. Users with Basic access can:
View and edit vehicle information.
Add and activate new vehicles.
View customer or driver details.
Communicate with fleet managers via Conversations.
View service data, reminders, and technical error codes (DTCs).
Monitor workshop KPIs related to vehicle health.
View workshop opening hours and general info.
2. Manager Access
In addition to all Basic permissions, users with Manager access are responsible for the workshop's digital setup and team oversight. Users with Manager access can:
Review the list of users assigned to the workshop.
Edit general workshop contact information.
Set estimated revenue values for different lead types.
Update workshop opening hours.
Configure auto-reply messages for fleet chat.
Update the workshop's map location.
Changing Your Role
Because ConnectedWorkshop is integrated with VW GRP, permissions are provisioned automatically.
To upgrade a user: The GRP admin must update the user's role in the portal.
To sync the change: The user should log out and log back in via the GRP tile to refresh their permissions.
Best Practice for VW Workshops
Manager Access: Assign this only to staff responsible for workshop operations, such as the Service Manager or Dealer Principal.
Basic Access: Assign this to all Service Advisors and Technicians who process leads and manage customer appointments.
This setup ensures that your daily operations run smoothly while reducing the risk of accidental changes to your workshop settings.
