Manage Users in ConnectedWorkshop

Keeping the right people with the right access in ConnectedWorkshop helps your workshop work efficiently and securely. 

By managing users correctly, you ensure that service advisors, managers, and technicians can access the vehicles and tools they need, while preventing former employees or unauthorised users from seeing customer or vehicle data.

Overview

In VW markets, access to ConnectedWorkshop is managed through the Group Retail Portal (GRP). Your local GRP administrator is responsible for assigning roles. Once the correct permissions are set, your access is created automatically.

How to Access ConnectedWorkshop

  1. Log in to GRP: Use your standard GRP credentials (including 2FA or SecurID):

 

  1. Locate the Tile: On your GRP start page, look for the Connected Workshop tile:

  1. Launch: Click the tile to be redirected to the platform

Note: You will only see the tile if your dealer is Proactive Service enabled and you have been assigned the correct role.


Information for GRP Administrators

To grant a team member access, the local GRP administrator must:

  1. Create the user in GRP (for new starters).

  2. Assign the specific role that includes ConnectedWorkshop permissions.

User Provisioning 

A user account is created in ConnectedWorkshop automatically the first time a person clicks the GRP tile. They will not appear in the workshop user list until this first login is completed.

Access Levels (Roles)

There are two levels of access available. Please ensure staff are assigned the level that matches their daily tasks.

BasicView vehicle data, activate vehicles, manage service leads, and use Conversations.
ManagerAll Basic rights, plus the ability to edit workshop details, opening hours, and auto-reply messages.


Troubleshooting
 

The Connected Workshop tile is missing

  • Check that the user has the correct role assigned in GRP.

  • Confirm that your dealership is currently Proactive Service enabled.

  • Contact your local GRP admin to verify permissions.

Access levels or workshop views are incorrect

  • Ask your GRP admin to verify that the role matches the user's responsibilities.

  • If the issue persists, contact local support with the user's GRP username and Dealer Code.
