Keeping the right people with the right access in ConnectedWorkshop helps your workshop work efficiently and securely.
By managing users correctly, you ensure that service advisors, managers, and technicians can access the vehicles and tools they need, while preventing former employees or unauthorised users from seeing customer or vehicle data.
This article applies to workshop users in ConnectedWorkshop only.
Fleet users and fleet managers are created and managed in Connect Pro and cannot be managed from ConnectedWorkshop. If you are looking to manage fleet users, this must be done in the Connect Pro platform.
User access types in ConnectedWorkshop
ConnectedWorkshop operates with two user access types:
- Manager rights
- Basic rights
Users with manager rights can invite new users, update access rights, and remove users from workshops. Users with basic rights can access vehicles and features based on the permissions assigned to them but cannot manage other users.
You can read more about the different access rights here.
Where to find User Management
The User Management page gives you an overview of all ConnectedWorkshop users linked to your workshop. You can use this page to:
- See who has access to your workshop
- Update access rights for existing users
- Remove users who no longer work at your workshop
To access User Management:
- Click on your initials in the navigation bar
2. Go to Settings
3. Select 'User Management'
How to view and edit user access
The User Management overview shows:
- User name and email
- Access rights
- Workshops the user has access to
- Latest login
If you have access to more than one workshop, you can filter by workshop or by access rights using the filters in the top left corner:
- Click on a user row to open their access details.
Check marks indicate which workshops the user has access to. If you have manager rights for a workshop, you can change the user’s access. If you only have basic rights, the access controls will be disabled.
Note: Only users with manager rights can invite new users or change access rights. If you need additional access, contact a workshop manager.
How to add a new user
If you have manager rights, you can invite new users to your workshop.
- In the top right hand corner, click 'Invite user'
- Enter the email address of the new user
3. Select the access rights
4. Click Invite user
The user will receive an email invitation with onboarding instructions. You can only invite users to workshops where you have manager rights.
View pending invitations
If you want to see invitations that have not yet been accepted, open Pending invitations.
Here you can see:
- Who was invited
- Who sent the invitation
- When it was sent
- When it expires
If you have manager rights for all workshops the user was invited to, you can revoke the invitation using the three-dot menu.
How to remove a user from a workshop
If someone stops working at your workshop, you should remove their access to protect customer and vehicle data.
- Find the user in the User Management overview
- Click on the user’s row
- De-select the blue check mark to disable their access to your workshop
- Click Save
The user will no longer have access to your workshop or its data.
Note: Removing a user from a workshop does not permanently delete their account. Permanent deletion is handled by Product Support for security and compliance reasons.
Other user types
Besides workshop users, there is also a user type called Organisational user.
Organisational users are typically internal, importer, or admin roles and are not usually managed by workshops. If you believe an organisational user needs changes, please contact support.
