How to Add and Set Up a Private Customer Vehicle

This article shows you how to manually add a private customer's vehicle to ConnectedWorkshop, fill in its details, and check if it needs extra hardware to receive live service updates.

Why the "Customer Type" Matters

Unlike fleet vehicles that are uploaded in large groups, private vehicles are added one by one. It is very important to choose Private Customer during setup. This choice ensures the vehicle gets the right software features, messaging, and hardware connections.

Step-by-Step Instructions

Step 1: Open the Vehicles Dashboard

  1. Log into ConnectedWorkshop with your GRP login details.

  2. Click on Vehicles in the main menu.

  3. Click the Add Vehicle button in the top right corner:

Step 2: Choose Customer Type and Enter the VIN

  1. Select Customer Type: Pick Private Customer from the drop-down menu. Note: Private vehicles often need specific settings or special hardware (like a CC-Link device or specific cable) to work properly:

  2. Enter the VIN: Type or scan the vehicle's 17-digit Vehicle Identification Number (VIN).

Step 3: Fill in the Vehicle Details

Fill out the required information on the screen:

  • Vehicle Model: Enter the exact model (for example: Caddy, T7, Crafter).

  • Model Year: Enter the year the vehicle was made.

  • Fuel Type: Choose Diesel, Petrol, Hybrid, or Electric.

  • Managing Workshop: If you manage multiple locations, choose the specific workshop responsible for this vehicle.

  • License Plate: You can leave this blank for now if the vehicle doesn't have a plate yet. However, you must enter a license plate later to fully activate the vehicle.

Step 4: Check if Extra Hardware is Needed

Before saving, look at the Connectivity Status on the screen. The system automatically checks the vehicle's technical data to see if it needs a hardware device called CC-Link:

  • If CC-Link is already installed: The system will say "Ready." You can save and move straight to activation.

  • If CC-Link is NOT installed: The system will show an alert. You must order a CC-Link diagnostic unit (and the correct cable) or schedule an installation right away.

Important:

The vehicle cannot send live, real-time service alerts to your workshop unless the physical CC-Link hardware is installed.

What to Do Next

Once the vehicle profile is saved and the hardware requirements are met, you are ready to connect the vehicle to the customer.
