The Quotes feature allows you to send formal service offers directly to fleet managers. By documenting the cost and scope of work within the platform, you create a clear audit trail of approvals, reducing delays and misunderstandings.
Where to Create a Quote
You can initiate a quote from two locations:
From Conversations: Open the active chat with the fleet manager and select the Add Quote icon in the reply area.
From Vehicle Details: Open the vehicle's record and select the Add Quote icon from the conversation panel:
Sending a Quote
To ensure the fleet manager has all the information they need, follow these steps:
Title: Enter a clear name (e.g. "Annual Inspection & Brake Replacement").
Price: Enter the total estimated cost.
Attachment: Upload the formal PDF quote from your DMS (Dealer Management System).
Expiry Date: Set an expiry date if your workshop has a limited-time pricing policy.
Send: Once you click Send, the fleet manager will be notified of the proposal.
Approval and Booking
For Fleet Vehicles
Once the fleet manager approves the quote in the chat:
Confirm Timing: Use the chat to agree on the best time for the vehicle to visit the workshop.
Book the Visit: If the booking feature is enabled for that fleet, you can schedule the appointment directly in ConnectedWorkshop.
Update Status: Ensure the quote status is updated to Accepted to keep your records accurate:
For Private Vehicles
Remember that private customers cannot receive digital quotes or book through the platform.
Contact the customer via phone or email to provide the estimate.
Arrange the booking through your standard workshop process.
Document the Outcome: Use an Internal Note in the Conversations area to record that the quote was provided and whether it was accepted:
Managing Your Pending Quotes
To see all active proposals in one place:
Select Leads from the left-hand menu.
Select the Quotes tab.
Filter your view: Check for "Pending" quotes that require a follow-up or "Nearing Expiry" quotes to ensure you don't lose the lead:
Key Takeaways
Professionalism: Always attach a PDF from your DMS so the price is backed by a formal document.
Traceability: The platform records exactly when a quote was sent, viewed, and accepted.
Manual Updates: If a fleet manager approves a quote over the phone, remember to manually update the status to Accepted on the quote card in the chat.
