How to Manage Workshop and Account Settings

The Settings area is the central hub for managing your personal profile and your workshop’s public-facing information. Keeping these details accurate ensures that customers (and fleet managers) have the correct contact details, opening hours, and booking options.

Accessing Settings

To open your settings, click your initials at the bottom of the left-hand navigation bar:

1. Account Settings

This is your personal profile area. Use this tab to:

  • Update your details: Change your name, phone number, and email address.

  • Preferences: Set your preferred platform language and cookie settings.

  • Notifications: Manage your email alert preferences for new leads or messages.

2. Workshop Settings

This section is primarily for users with Manager access. It controls how your workshop appears to the outside world.

  • General Information: Update your workshop’s name, address, and primary phone number. You can also add an Emergency Number for out-of-hours support.

  • Opening Hours: Set your weekly schedule. This is critical because it dictates when your Auto-reply messages are sent to fleet managers.

  • Location Map: Drop a pin on the map to ensure your exact workshop entrance is visible to customers in their connected car platforms.

3. Users (GRP Managed)

This section lists everyone currently assigned to your workshop.

  • Important for VW: While you can view staff here, remember that GRP (Group Retail Portal) is the master system for adding new users or changing their primary permissions.

4. Fleet Settings (Where enabled)

If your workshop handles fleet contracts, this tab allows you to manage specific fleet contact details, legal information, and the creation of new fleet profiles.

Key Takeaways

  • Accuracy is Key: If your opening hours are wrong, your auto-replies will send at the wrong time.

  • Booking Efficiency: Adding a direct booking link reduces the number of phone calls your Service Advisors need to take.

  • Manager Access: If you cannot see the "Workshop" or "Leads" tabs, you likely have Basic access and should contact your GRP admin if you need to make changes.
